Overview
GPS is a multi-tiered guidance system for students' academic success and retention.
- Instructor sends GPS update which generates email to student and a comment in student's LOUIE record
1. Student can reply to the email or contact the instructor for guidance
- Update email contains links to online resources relevant to the topic identified by the instructor
2. Student can use online resources for guidance
- GPS units can use GPS comments to identify students for possible additional contact
3. Student can reply to advising unit for guidance
- Individual advisors can reference GPS comments in an already scheduled meeting and offer guidance
4. Student can interact with the advisor for guidance
Update Calendar
Instructors send updates on your academic progress at 3 points during the semester. Each point is a critical decision making period for managing your GPA and/or your good academic standing.
Fall 2009
Update periods are highlighted in yellow
September 18th - Last day to drop a class without a "W" on your transcript.
October 23rd - Last day to drop class with a "W" on your transcript without a petition.
November 30th - Last day to withdraw from all classes for the term.
Spring 2010
Update periods are highlighted in yellow
February 5th - Last day to drop class without a "W" on your transcript.
March 12th - Last day to drop class with a "W" on your transcript without a petition.
April 23rd - Last day to withdraw from all classes for the term.
Update Topics
Ultimately, the intent of GPS is to create a dialogue between students and instructors.
Except for Positive Feedback and Resources, the GPS updates indicate your concern about a particular area.
- GPS has been specifically designed to allow for personal interpretation.
- Follow your syllabi expectations to determine when an update is needed.
Since your concern about a student’s C in your class may be the best news she has received all term, the student resources are designed to address a multitude of situations and perspectives and situations, and the student determines what is the best action for her situation.
The 5 Update Topics

- Update students who are missing class, showing up late, possibly attending the wrong section.
- Attendance is a check box.
- Web resources encourage the student to examine attendance issues.

- Update students not performing to potential, letting their grades slip, or who are in danger of failing.
- Grade is a check box (since grades can’t be recorded in a student email- FERPA).
- Web resources direct students to multiple resources for improving grades.

- Other Academic Concerns is a comment box, so you send the message you want the student to receive.
- Identify specific student issues such as falling behind on work, not engaging with group, or needing to study differently on tests.
- Make your own recommendations and referrals for improvement, such as seeking a tutor or attending Supplemental Instruction.

- Acknowledge students making improvements, doing well, or needing encouragement.
- Positive Feedback is a comment box, so you send the message you want the student to receive.
- Web resources encourage the student to follow up with you if they have any other concerns of their own.

- Link students whose progress you have reviewed, and with whom you do not have any academic concerns, to academic tools and resources.
- Resources is a check box, but can be applied to all remaining students by clicking, in LOUIE:

Comment Cautions
Your comments are copied verbatim into the student email:
- No third person language (Write your comments to the student not about the student)
- Avoid names if you are copying and pasting messages (Student names in salutation).
- Do not sign your name (It is already included in the signature line)
- No Grades (Email is not considered secure by FERPA)
